Provide administrative support / assistance to the Executive Director and Head of Operations and all other tasks as specified in the task below.
• Facilitate handling of requests for information from EU Member States and other authorities
• Keep diaries and address lists up to date
• Handle telephone enquiries
• Organise meetings and other activities
• Take notes and minutes
• Make travel and accommodation arrangements
• Process letters, notes and minutes and replying to correspondence
• Establish and maintain filing systems
• Act as a point of contact for external bodies i.e. EU Council, EU Commission, EU Parliament and UN Agencies
• Participate in ad hoc projects as part of a team or individual
• Deputise for other administrative assistants during absence
• Education: Secondary, post-secondary
• Work experience: Minimum 5 years
• Excellent written and oral communication skills
• Ability to work independently and as part of a team
• Ability to work under time pressure
• Creative personality and a good team player
• High degree of discretion
• Very good knowledge of the main office tools (Word, Excel, Outlook)
Advantageous:
• Work experience in an international organisation
• Experience in working in international environment
• Experience in providing administrative and secretarial support at executive level
